Executive Coordinator - Operations & Training

This role serves as the linchpin, combining executive support, operational efficiency, and training coordination to drive our organization's growth and impact.

Join us as the Executive Coordinator - Operations and Training, where you will play a pivotal role combining executive assistance, operations support, and training coordination. This dynamic position supports our executive team and ensures smooth operations and training initiatives across our organization's diverse pillars and profiles.

You'll be part of our exciting expansion phase, as we strengthen our global network, explore new markets in Kenya, and launch a worldwide Social Impact Training Centre. This opportunity is for individuals with a long-term vision, ready to commit to co-creating a purpose-driven consulting firm and gradually take on more leadership responsibilities over time.

Job Location: Global and remote position anywhere in the world.

Employment type depending on the location of candidate: Full-time employment or service contract, with other arrangements considered for the right candidate based on their location.

About the Role.

You will be responsible for:

Executive Assistance and Operational Support (40%): 

  • Oversee day-to-day operational processes and workflows. 

  • Assist with managing budgets, expenses, and financial records. 

  • Collaborate with various stakeholders to ensure smooth operations. 

  • Supporting human resource, including employee record management and policy compliance. 

  • Identify opportunities for process improvement and efficiency gains, particularly leveraging on new technologies and software support. 

  • Manage the executive's calendar, schedule appointments, and coordinate travel arrangements. 

  • Prepare reports, presentations, and documents as needed. 

 

Training Platform Coordination (60%): 

  • Manage and coordinate our training platform or learning management system (LMS). 

  • Collaborate with training and development teams to schedule, organize, and track online and offline training programs. 

  • Handle logistics of training sessions, including participant enrolment, and materials preparation. 

  • Troubleshoot technical issues related to the training platform. 

  • Collect and analyze training data, including participant feedback and performance metrics. 

  • Assist in the development and distribution of training promotion materials and resource 

  • Identify and coordinate new offline and online training opportunities 

  • Support other administration and operation issues linked to training platform 

Required Qualification.

  • Interest in human rights, gender equality and social impact 

  • Bachelor's degree or equivalent work experience.

  • Proven experience in administrative and operational support roles.

  • Familiarity with training platforms or learning management systems is a plus.

  • Excellent communication, organizational, and time management skills.

  • Tech-savvy with proficiency in office productivity software and strong interest in new technologies.

  • Ability to handle sensitive information with discretion and maintain confidentiality.

  • Ability to work independently, take initiative, while also thriving as a collaborative team player, embodying adaptability and effective communication skills. 

  • Strong problem-solving and analytical abilities.

  • Flexibility to adapt to changing priorities and responsibilities.

  • High attention to detail and accuracy.

  • Willingness and ability to work remotely and under different time zones, if required by the workflow.

  • Excellent English skills; knowledge of another language is an asset.
